Who we are
The Sales Codex by Cadence (“The Sales Codex,” “we,” “us”) is a software and services product, operated by [TO CONFIRM: legal entity name and registered address], that analyzes sales-call recordings and transcripts with AI to score calls and coach sales teams. This policy explains what we collect, how we use it, and the choices you have. It applies to thesalescodex.com and to The Sales Codex application.
What we collect
- Account information — your name, email address, company, and billing details when you create an account or start a trial.
- Call content — the sales-call recordings and transcripts you upload, paste, or connect through an integration (for example, Fireflies). This may include the voices and words of your call participants; you are responsible for having the right to record and share those calls with us (see the Terms of Service).
- Usage data — how you use the site and the product (pages visited, features used, approximate device and browser information), collected to keep the product working and improve it.
- Communications — messages you send us, including emails you submit through forms such as the free teardown or the case-study download.
How we use it — and how we don't
We use your call content for one purpose: scoring, analysis, and coaching for your own organization. Your calls, transcripts, scores, and generated playbooks are private to your account.
- Your calls are never shared across customers. No other customer can see, search, or benefit from your call content.
- Your calls are not used to train shared or general-purpose AI models. AI processing runs to produce results for your organization only.
- Account and usage data is used to operate the service, process billing, provide support, prevent abuse, and send you service messages (and, if you opt in, product updates you can unsubscribe from at any time).
Third-party processors
We rely on a small set of service providers to run The Sales Codex. Each processes data only as needed to provide its service to us:
- Vercel — website and application hosting.
- Clerk — authentication and account management.
- Stripe — payment processing. We never store your full card details ourselves.
- Neon — database hosting for your account and analysis data.
- Anthropic — AI processing of call content to produce scores, analyses, and coaching output.
- Groq — transcription of audio recordings you upload.
- Fireflies — only if you connect it: call recordings and transcripts are imported from your Fireflies account under the permissions you grant.
We do not sell your personal information, and we do not share call content with any third party other than the processors above.
Data retention and deletion
We keep your data for as long as your account is active. You can delete individual calls at any time from within the product. If you close your account or ask us to, we will delete your account data and call content within a reasonable period, except where we are legally required to retain records (for example, billing records).

Cookies and analytics
We use cookies that are necessary for the site and product to function (such as keeping you signed in), and privacy-respecting analytics (Vercel Analytics) to understand aggregate site usage — page views and anonymized events like button clicks. We do not use third-party advertising cookies on this site.
Security
Your data is encrypted in transit, and sensitive credentials such as API keys are encrypted at rest. Access to customer data inside our team is limited to what is needed to operate and support the product.
Children
The Sales Codex is a business tool and is not directed at children under 16. We do not knowingly collect personal information from children.
Changes to this policy
If we make material changes to this policy, we will update this page and, where the change meaningfully affects how we handle your data, notify account holders by email or in-product notice.
